The problem

Three kinds of callers, one phone, and you're with a client.

A small agency gets new quote requests, existing-client service calls and claims in the same hour. The person who needs a quote has a renewal date and a few other agents to call, and the person with a claim is already upset.

Quote shoppers are on a clock

Someone whose policy renews next week, or who just bought a car, is calling agencies now. The agency that gets their details and a time to talk has the first shot.

A claims caller needs the right place fast

Someone who's had an accident or a break-in doesn't need your voicemail. They need to know who to call and that you'll follow up, and they remember how the call went.

Service calls pile up around renewals

Certificate requests, address changes, ID card questions and billing questions arrive in clusters. Most are routine, but they still pull you away from the client in front of you.

How Speechless handles your agency's calls

1

Takes quote intake in your format

You choose the questions, such as the type of coverage, the renewal date and the contact details. The agent asks them on every call and sends you a clean summary to work from, with a time to call back.

2

Routes claims callers

A caller who needs to report a claim is put through to you or your claims contact, or is given the carrier claims number you entered. If you can't take it live, the call is flagged for an immediate callback.

3

Keeps service requests organized

A request for a certificate, a policy change or an ID card is recorded with the caller's name, the policy they mean and what they need. Your team handles it from the written note.

Frequently asked questions

Will it bind coverage or promise anything about a policy?
No. It does not bind coverage, quote a premium, confirm that coverage is in force or say what a policy covers. Those come from you or a licensed team member. It collects details and passes them to you.
Does it give insurance advice?
No. If a caller asks which coverage they should buy, or whether a loss is covered, the agent explains that an agent will answer, records the question and takes their details. Practical questions about hours, location and the lines you write are answered from what you gave it.
What happens when someone calls to file a claim?
You decide. It can transfer the call to you or a colleague, announcing the caller first, or give the carrier claims number you provided and flag the call for your follow-up. Either way, you see the caller's details.
Can it work with my agency management system?
There's no direct connection to agency systems. New leads can be pushed to HubSpot or Pipedrive, or to other tools through Zapier or a webhook, and you also get a summary by SMS, WhatsApp, Slack, Discord, Google Chat or email.
Can it book a quote appointment?
Yes. Live booking is available with Cal.com on every plan, and it offers only slots that are open. If a calendar isn't connected yet, it takes the booking request and you confirm it.
How much does it cost for a small agency?
Starter is $39 a month with 250 minutes and Pro is $129 with 1,000. Scale is $249 with 2,000 minutes. After the included minutes, the rate is $0.20, $0.17 or $0.15 a minute. There is a 14-day free trial of Starter, and no contract.
