Privacy Policy

This Privacy Policy explains how Speechless, Inc. (“Speechless”, “we”, “us”), a company based in the United States, collects, uses, and shares information when you use our website, web application, and AI phone-receptionist service (together, the “Service”). It applies to our business customers and visitors. Where Speechless processes call data on behalf of a business customer, that business is responsible for its own notices to its callers, and we process the data under our agreement with that business.

1. Information we collect

  • Account information — name, email address, business name and website, and authentication details when you sign up.
  • Business configuration — the services, hours, pricing, greetings, and rules you provide so your agent can answer calls accurately.
  • Call data — when your agent handles a call: audio recordings, transcripts, caller phone numbers, and details callers share (such as a name, address, or appointment request).
  • Usage and device data — log data, pages visited, and product analytics that help us understand how the Service is used and keep it reliable.
  • Payment information — handled by our payment processor; we do not store full card numbers.

2. How we use information

  • to provide the Service: answer calls, generate transcripts and summaries, schedule appointments, and route notifications you configure;
  • to operate, secure, debug, and improve the Service;
  • to communicate with you about your account, support requests, and product updates;
  • to comply with legal obligations and enforce our agreements.

We do not sell personal information, and we do not use the content of your calls to train third-party foundation models.

3. How we share information

We share information only as needed to run the Service:

  • Service providers — infrastructure, telephony, speech and language-model providers, analytics, and payment processors that process data on our behalf under contractual confidentiality and data-protection obligations;
  • Integrations you enable — for example your calendar or CRM, where data flows according to your configuration;
  • Legal — when required by law, legal process, or to protect the rights, safety, and security of Speechless, our customers, or the public;
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

4. Call recordings and consent

Calls handled by your agent may be recorded and transcribed so you can review them and so the Service can produce summaries and follow-up actions. Recording-consent laws vary by jurisdiction. As the business deploying the agent, you are responsible for providing any legally required notice to your callers; we provide configuration options to support this.

5. Security and retention

Data is encrypted in transit and at rest, and access is restricted to personnel and systems that need it to operate the Service. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard practices. We retain Customer Data for as long as your account is active or as needed to provide the Service, and we delete or anonymize it after account deletion, subject to legal retention requirements.

6. Your choices and rights

You can access and update your account information from your dashboard, export your call data, and delete your account at any time. Depending on where you live, you may have legal rights to access, correct, delete, or restrict the processing of your personal information — contact us and we will honor applicable requests. We respond to verified requests within the timeframes required by law.

7. Children

The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

8. Changes to this Policy

We may update this Policy from time to time. If a change is material, we will give you reasonable notice (for example by email or an in-product notice) before it takes effect. The “Last updated” date above reflects the latest revision.
