The best AI receptionist for a small business is the one that books into your calendar, puts urgent calls through to you, tells you what happened after every call, and costs an amount you can predict. That is a short list, but vendors differ a lot on each item. Compare six things: how pricing works, how booking works, what happens on urgent calls, where notifications go, how long setup takes, and what you are locked into.
We make Speechless, so we have a stake in the answer. This guide gives you the criteria and questions we would use if we were buying, and tells you how to check each one with a phone call instead of trusting a website.
What to look for
1. How the pricing works
AI receptionists are priced by the minute, by the call, by a bundle of minutes, or by a flat monthly fee. Compare them on a month of your real calls, not on the headline price. Ask what counts as a minute (does it include the greeting, hold time, or time the call is ringing?), what you pay when you go over, and whether features are locked to higher tiers. A low sticker price with expensive overage can cost more than a bigger plan.
Speechless prices are on the site. Starter is $39 a month with 250 minutes, then $0.20 a minute. Pro is $129 with 1,000 minutes, then $0.17. Scale is $249 with 2,000 minutes, then $0.15. All plans have every feature; they differ by minutes. Pro adds jobs assigned across technicians and priority support. Our cost guide shows how to estimate the minutes you need.
2. Booking
Many tools take a message that says the caller wants an appointment. Few put the appointment on your calendar during the call. Ask whether the agent reads your actual availability, offers real open slots, and writes the booking back. If it does not, you still have to call every lead to schedule it.
Speechless books live with Cal.com on every plan, and it only offers slots that are really open. It also works with Google Calendar, Calendly, Square and Outlook. Until a calendar is connected, it takes booking requests and you confirm them. More on this is on our appointment booking page.
3. Urgent calls and transfers
Every owner has a call they would rather be woken for. Ask what the product does with it. Can it call your cell? Does it tell you who is calling before you pick up? Can you define urgent in your own words, such as flooding, no heat or a lockout, instead of choosing from a fixed list? Also ask what happens if you do not pick up.
With Speechless, you decide what counts as urgent. The agent can do a warm transfer (announce the caller), a blind transfer, or flag the call so you phone back.
4. Notifications and records
The summary is how you know what happened. Look for the channel you already use, the details in the message, and whether you can read the whole call. Ask about transcripts, recordings, export and what happens to your data if you leave.
Speechless sends a summary with the caller's details after every call by SMS, WhatsApp, Slack, Discord, Google Chat or email, your pick. Every call is transcribed, and recordings are available if you enable them. You can review and export from the dashboard at any time, including after cancelling. Data is encrypted in transit and at rest, and never sold. See the security page.
5. Setup time and testing
If setup needs scripts, flowcharts or a consultant, the product is not built for a business with no one at the desk. Ask how long it takes and whether you can hear the agent before you pay. A free test with your own business details is the best demo you will get.
With Speechless, a short chat at go.speechless.so/onboarding builds the agent. You can give your website and it reads services, hours, prices and FAQs. You keep or untick each fact. Most owners are live in about 5 minutes.
6. Contract terms
Look at the term length, any setup fee, the cancellation process and what happens to your number. Month to month with no setup fee lets you change your mind. A contract only makes sense if the price reflects it.
Speechless has no contracts and no setup fees. You keep your existing number and forward calls to Speechless. A 14-day free trial of Starter with 250 minutes starts when you add a card, and you pay nothing if you cancel in the trial.
The checklist in one table

|---|---|---|
| Pricing model | Per minute, per call or tiered? What counts as a minute? What does it cost over the limit? | $39, $129 or $249 a month with 250, 1,000 or 2,000 minutes. Overage $0.20, $0.17 or $0.15 a minute |

| Urgent calls | Can it reach you live? Does it announce the caller? | Warm transfer, blind transfer, or a flag for callback, as you choose |
| Notifications | Where do summaries go, and how fast? | SMS, WhatsApp, Slack, Discord, Google Chat or email after every call |
| Setup time | Do you need scripts or flowcharts? Can you test before paying? | A short chat, about 5 minutes, and a test call in the browser first |
| Contract | Term, setup fee, cancellation? | Month to month, no setup fee, cancel with one click |
The kinds of options on the market
You will see roughly five kinds of products. We describe them by category so you know where to look, and we do not quote other companies' prices here because they change.
AI receptionists built for small businesses. Self-serve products with a short setup and a calendar connection. Speechless is one.
Human receptionist services that added AI. Companies that started with people and now offer an AI option, sometimes with a person behind it for harder calls. They can suit you if you want a human fallback. Our guide to virtual receptionist vs AI receptionist covers when that makes sense.
AI features inside a business phone system. If you already pay for a cloud phone system, it may include an AI agent. These tend to suit teams that live in that system.
Traditional answering services. Human agents who take messages. Covered in AI receptionist vs answering service.
Enterprise contact-center AI. Built for many locations, call centers and custom systems. If that is you, talk to sales at speechless.so.
If you are already looking at specific companies, our head-to-head pages put Speechless next to them with sourced, dated details so you can check the numbers yourself: Rosie, Goodcall, My AI Front Desk, Dialzara, Smith.ai and RingCentral AIR.
Where Speechless is not the right fit
It answers inbound calls. It does not run outbound campaigns, cold calling or reminder calls. It is not HIPAA compliant, so it is not for clinics or patient calls. Its languages are English, Spanish, French, German, Portuguese and Italian. The booking and lead tools it connects to are Cal.com, Google Calendar, Calendly, Square, HubSpot, Pipedrive and Workiz; other tools work through Zapier or a webhook. If your business needs something outside that, check before you sign up.
Test any of them with three phone calls
Do not decide from a recorded demo. Set up a trial and call the agent yourself.
- The easy call. Ask for an appointment. Does it get the job, address and time, and does the booking land where it should?
- The awkward call. Ask something not in the facts you gave it. Does it admit it does not know, or does it make something up?
- The urgent call. Say something is flooding. Does it reach you the way you asked?
Then read the summary, and check the transcript against what you said. If a product passes those three, the rest is price and fit. For more on how it works day to day, see our AI receptionist page or what an AI receptionist is.
Questions owners ask
Is a free trial really free?
With Speechless, creating an account and taking a browser test call is free. Adding a card starts a 14-day free trial of Starter with 250 minutes. You are not charged during the trial, and if you cancel in it you pay nothing. Ask any vendor the same question.
Do I need to change my number?
No. Keep your existing number and forward calls to the receptionist: all calls, only missed calls, or only after hours and when you are busy. We explain the options in how to forward business calls.
What if I outgrow it?
Plans differ by minutes only, so you move up when your call volume does. For several locations or custom systems, talk to sales.
